Wedding Cupcake Tower Issues Help!

Hi there, this will be my first Wedding request and 1st cupcake Tower and I am really nervous. Not sure I should have said yes now....
Anyhow I have a few questions and hoping someone has done a cupcake wedding before and hoping to share any suggestions. My concerns are;
1. Butter cream frosting: the weather is soo unpredictable will the butter cream melt on a hot day?
2. how long before the reception should I set up?
3. how do I stop them being damaged in transport.
4. I have to put a heart on each cupcake standing, should I just put them on there or should I have them ready to go. The reception venue is 40mins away.
Any help would be much appreciated.

First of all.. just take a breath and relax... everything is going to be alright !! We have all been through our "first" wedding booking and it can be overwhelming but you will get used to it and it will feel like an old habit before too long !!!

You shouldn't have any problems with cupcakes and buttercream melting..... I have only had problems with buttercream and heat when I have a cake. YOu have a flat surface so I am thinking you will be fine. I would put those little hearts on there before hand.. some would say when you get there.. it is a personal thing.... like I deliver my cakes stacked while some don't stack until they get there.
Depending on how many cupcakes you have to do.. I usually buy the sheet cake box and set them in there. I transported 150 of them decorated and had no problem at all..

You should find out what time you can get in at the venue and then when the wedding begins. I always try to get out for set up a few hours before service. It just depends on if the ceremony and reception are at the same place or not..

3. how do I stop them being damaged in transport. I buy sheet cake boxes and a sheet cake cake board and I dab a tiny bit of icing on the bottom of the cupcake to glue it to the board so they are more stable

I am still nervous though - I am always nervous before any new design of cake but the more nervous I get the better they are.

Still plays on my mind that it is someones special day and it must all turn out perfect!

Get a cuppa as this may take a while....

I know I have had concerns but now I am thinking about this cupcake tower all the time.

The weather will be 31 degrees on thurs and 33 degrees on the morning of the delivery and I am shaking in my boots... it is so hot and humid in syd down under.

The bride now wants 100 cupcakes and more flowers and detail. Am so worried.

Questions; HELP

Top cake;
How many days prior can I make the top cake - Marzipan covered cake and where is the best place to store it in this heat. Can I make the cake on Wed then keep it in the fridge then cover it on Thurs night?

Cupcakes;
How many days prior can I bake them? can I keep them in the fridge also or will they go hard?

The butter cream icing is a little different to the one made in the states (I think) ours consist of only icing sugar and butter and I found an amazing product to turn it white yay as this icing looks a yellowish color just like butter.

Anyhow as this icing is mostly butter - butter melts so am guessing this icing will melt also. I was thinking of using melted marzipan and dipping the cup cake tops in... the bride doesn't mind which icing I use as long as it is white with love hearts standing up not laying down.

What to do...

Suggestions suggestions please feel free to give give give suggestions...

I did a cupcake tower this past August in hot summer weather. I only use the Wilton buttercream recipe - no butter means no spoilage or melting issues. The wedding was on Sunday, I baked the cupcakes on Friday night, frosted and decorated with sunflowers on top on Saturday night, and delivered in large sheet cake boxes on Sunday. Give yourself enough time for potential traffic tie-ups and crank the air in the car! Good luck!

Hi Wingit,
I hear you on the heat. It's been causing me probs too.
If you have time to get them, cake decorating central (dot) com (dot) au has really good cupcake boxes with inserts to keep the cakes in place.

Think about using fondant instead of buttercream, if your bride doesn't mind, then you can just glue each heart on top and don't have to worry about melting BC. Use circle cutter to cut each round of fondant them smooth it on top of a thin layer of either ganache or BC (smoothed first). Sorry, if that doesn't make sense PM me and I'll email you the Planet Cake cupcake instructions.

I only make cupcakes the day before the event, no longer or they will dry out.

I don't know much about marzipan but I do know that fondant will be fine in the fridge.

Thanks for all the responses and help. The wedding was today.

It all worked out.


Heat wave today also so I decided to melt fondant with egg white in the microwave and it made it runny so I poured it on to the cupcakes and then it hardened.

The reception is a few hours away but I went there this morning and set it all up. I just hope the tower holds up with the weight of the cake.
